Telegram for crew
What crew members can ask the team's Telegram bot, the reminders it sends, and how to report problems or clock in from a chat.
Your team's Telegram bot is your assistant on shift. Talk to it in plain words, like texting a coworker who has the schedule in front of them. It only knows about your own shifts and tasks.
If you are not connected yet, see For your crew.
What to ask
Your shifts
- "Where am I working next?"
- "What's my schedule this week?"
- "Who else is on the Saturday event?"
- "What do I need to know for today's shift?" (the shift brief)
Getting there
- "How long is the drive to my next event?"
- "When should I leave to be there by 10?"
- "What's the weather at my next stop?"
On the truck
- "What's on the packing list?" / "I packed the generator."
- "We're short on cups." (marks the item short on the packing list)
- "What tasks do I have?" / "Done with the opening checklist."
- "Is the mango sold out?" / "We're out of mango, 86 it."
- "What's today's special?"
- "How many pre-paid orders are left to pick up?"
When something breaks
- "Who do I call about the generator?" (your team's saved service contacts)
- "How do I reset the ice shaver?" (searches the equipment manuals your team uploaded)
You can send a voice note instead of typing.
Reminders and notices
- Morning briefing: on days you work an event, a short summary of your events. See The morning briefing.
- Shift notices: when you are put on a shift or a shift changes, you get a message with Got it and I have a conflict. Got it lets your manager know you saw it. I have a conflict flags it so they can sort it out. If you do not tap either, the shift still stands.
- Shift reminders arrive ahead of each shift, for example the day before and a couple of hours before.
- Task reminders for prep tasks that are due.
- After the event, a link to the event report form, or All good and Had issues buttons.
Report a problem
- An incident: "The generator died at the Oak Park event." Add a photo with a caption and the photo is attached to the report. Your manager is notified right away.
- Running low: "We're low on 12 oz cups." It goes on the restock list.
Clock in and out
Message "clock in" when you start and "clock out" when you finish. Your hours land on your timecard. You can also use Time clock in the crew portal.
Your availability and time off
- "I'm available tomorrow from 2 to 8."
- "Block me out next Friday."
- "Copy last week's availability."
- "I need next Monday and Tuesday off for a family trip."
These change only your own availability. See Availability and time off.
Your portal link
Send /portal (or ask "send me my portal link") and the bot replies with a fresh link to your crew portal.
If the bot says it is unavailable
Sometimes the bot replies that it is temporarily unavailable. That is not something you did. Try again later, and tell your manager if it keeps happening.
