Events with several trucks

Send more than one truck to the same booking, and know which truck counts as the primary one.

A big festival or a school field day can need two or three trucks. Put them all on one event instead of creating copies: the booking stays one customer, one sale and one invoice, and each truck is still blocked off for that time.

Add trucks to an event

Open the event and use the Trucks picker. Tick every truck going. The picker locks any truck another event already holds at that time, so you cannot double-book a truck by accident.

When you save, the event's Equipment line in Google Calendar lists the trucks in order, separated by commas, so your crew sees every truck on the booking.

The primary truck

The first truck in the list is the Primary one. It matters in a few places:

  • Schedule colors. The event card takes the primary truck's color.
  • Reports. Sales by truck credits the event to the primary truck.
  • Closeout and mileage. The job's closeout and mileage are figured for the primary truck.

Everything that needs to know whether a truck is busy counts every truck on the event: the truck picker on other events, booking conflicts, the Dispatcher's lanes, Square sales matching and the truck-and-crew lines on your event lists.

Trucks are listed in the order you tick them, so the first one you pick is the primary. To make another truck primary, untick the others, then tick them again after the one you want first, and save.

In the Dispatcher

On the Dispatcher timeline, an event with several trucks appears on each truck's lane, so every lane shows the day that truck is really working.

When you drag such an event on the planning board, only the lane you dragged it from changes: that truck is swapped for the one you dropped it on, and the other trucks stay on the event. An event with a single truck simply moves.

One booking, one sale

Record sales once, on the event. If each truck rings up on its own Square device, sales from all the event's trucks are matched to it. See Event sales and invoices.

Common questions

Can each truck have its own crew? Crew is assigned to the event, not to a truck. Add everyone working it in Assignments and tell them which truck in the event notes or when you notify them.

Do I need the Dispatcher add-on for this? No. Any plan with more than one truck can put several trucks on an event. The Dispatcher just shows those trucks' days side by side.
