Connect Google Calendar and Gmail
Connect the calendar your events live in and the Gmail your customers write to, per brand or once for all brands.
Your events stay in Google Calendar. Connecting it lets the assistant know where every truck should be, fills the Schedule page, and feeds the morning briefing. Gmail is a separate connection: it sends proposals, reminders and replies from your own address, and powers the catering inbox.
Google Calendar is one of the three required setup steps. Gmail is optional.
Your Google Calendar
Where your bookings live. Anything you add in Google shows up in CurbsideOps.
CurbsideOps copy
A working copy of every event. Edits save here first, so the portal updates instantly.
Portal, bot and crew
Schedule, Today, Dispatcher, morning briefings and the assistant all read the same copy.
Calendars you can only view (for example a franchisor's feed) are read, never written.
Two connections, each asking only for what it needs
| Connection | What CurbsideOps can do |
|---|---|
| Google Calendar | Read your calendars and their events (times, places, notes, guests). Create, change or delete an event only when you or your team book, edit or cancel it in CurbsideOps. |
| Gmail | Read incoming email to find catering inquiries, create draft replies for you to review, and send email from your address when you press Send or turn on a customer email automation. |
You can connect one without the other, and disconnect one without touching the other.
Connect
Start from setup or Integrations
During setup, press Continue with Google on Your calendar. Later, open Integrations and pick Google Calendar or Gmail under Add a connection.
Pick the brand
With more than one brand, CurbsideOps asks which brand the account is for. Pick one brand, or All brands to use one account for every brand.
Sign in and allow everything listed
Sign in with the Google account that holds your event calendar (or your customer email). Leave every box ticked on Google's screen. If any are unticked, CurbsideOps does not connect, because it could not do what it listed.
Your events are picked up right away and kept in sync from then on.
One account or one per brand
- All brands suits an owner who keeps every brand's events on one calendar. Each event belongs to the brand named on its Brand: line. For Gmail, replies go out from the address the customer wrote to.
- Per brand suits brands with their own Google accounts. A brand without its own connection uses the All brands one, if you have one.
One Google account is one connection. If you try to connect an account that is already connected for another brand, CurbsideOps refuses and suggests connecting it once with All brands instead.
What CurbsideOps writes on your events
When CurbsideOps creates or edits an event, it keeps a few lines in the description up to date so anyone looking at Google sees the same facts:
- Brand: which brand the event belongs to. With several brands, CurbsideOps asks you to pick one when you create an event.
- Equipment: the truck, or trucks separated by commas.
- Staff Assigned: the crew.
It also colors the event with the brand's Google Calendar color, one of Google's eleven event colors, set in the brand's settings. Apply to existing events in the same place updates events CurbsideOps created earlier; it shows you the counts and asks before changing anything.
Read-only calendars
Some calendars are shared with you for viewing only, for example a feed a franchisor or partner publishes. CurbsideOps shows those events with a Read-only in Google badge. You can still assign crew, track the job, record sales and save contact details on them; those stay in CurbsideOps. Changing the time, place or deleting the event has to happen in Google with an account that can edit it.
If Google disconnects
CurbsideOps keeps its own copy of your calendar, so the schedule and the assistant keep working. Changes you make while disconnected are saved and delivered to Google once you reconnect. See Calendar not updating.
Disconnecting
Open Integrations, pick the connection, and choose Disconnect from its menu. CurbsideOps tells you exactly what happens before you confirm:
- Google Calendar: reading and writing stop and the stored sign-in is deleted. Events already in CurbsideOps stay as your booking records.
- Gmail: reading and sending stop, the stored sign-in is deleted, and the email content copied into your catering inbox is deleted. Leads, customers and proposals stay.
If no other CurbsideOps connection uses the same Google account, CurbsideOps also removes its access in your Google Account.
