Invite your crew
Add your staff to the roster, text them a link that connects their Telegram, and send them their crew portal.
Once your crew is on the roster and linked to your Telegram bot, each person gets their own morning briefing, shift reminders and a crew portal on their phone. They only ever see their own shifts, never your sales or anyone else's schedule.
Add a staff member
Open the roster
Go to Team, then Roster, and press Add staff.
Fill in the basics
Enter their Name and Phone. Email is optional. Under Role, keep Staff for crew. Owner gives full access to sales and fleet, so save it for business partners.
Add aliases (optional)
Aliases are nicknames, separated by commas ("Kev, Kevin R."). The assistant uses them to match this person to the names written on your calendar events.
Save
Save the person before you send their invite. A saved person's link connects their Telegram in one tap.
Starter includes up to three staff. Professional and Premium have no limit.
Get them on Telegram
Text them a link
Open the person again and press Text onboarding link under their phone number. They get a text with a link to your bot. When they open it and press Start in Telegram, their account is connected and the bot welcomes them.
Text onboarding link appears once Quo is connected with a phone number to send from, because the text goes out from your business number.
Save first
If you text the link before saving the person, the text still points to your bot, but they have to send you their Telegram ID instead of connecting in one tap.
Without Quo
Ask the crew member to open your bot in Telegram (search for its @username) and send any message. Because the bot does not know them yet, it replies with their Telegram user ID, a number like 123456789. Paste it into their Telegram user ID field on the roster and save.
Send them their crew portal
The crew portal is a private page for each person: today's shift, directions, the shift brief, tasks, the time clock and more. See The crew portal.
On the staff member's page, the Self-portal link panel has Send (delivers the link by Telegram) and Copy (copies it so you can send it any way you like). Sending again replaces the old link, so a lost phone is one tap to fix. Crew can also get their own link any time by sending /portal to the bot.
Managers
A manager is a crew member who can also sign in to this portal and run the business day to day, without seeing billing. Managers are a Premium feature: open the person's page and use Promote to Manager. See Managers and permissions.
